AI lead follow-up that keeps a person in charge
Leads arrive from everywhere: web forms, calls, texts, email, social messages. When they live in five places, some get answered late and some not at all. Follow-up is where a little automation and a little AI go a long way.
What we do
We help small businesses in San Diego and remotely build a lead follow-up system that captures inquiries in one place, sends a prompt and honest first response, and reminds your team when someone is waiting.
AI fits in specific spots: summarizing what a lead asked for, drafting a personal reply for you to approve, or suggesting the next step based on your notes. It does not need to pretend to be you, and it should never promise what you have not agreed to.
We also respect the rules around messaging. Texts and emails need consent and an easy way to opt out, and we set things up with that in mind.
A typical setup is plain on purpose: one place where every inquiry lands, a short acknowledgment that sets honest expectations, a reminder if nobody has replied, and an AI-drafted reply waiting for a person to review and send. Nothing clever, just fewer people falling through the cracks.
How it works
- 01
Trace the leak
We follow a lead from first contact to booked work and note where it waits, gets lost or gets a generic reply.
- 02
Connect and draft
We route inquiries into one list or CRM, set up first responses and reminders, and add AI drafting where it saves your team effort.
- 03
Review together
We check real follow-ups with you, adjust tone and timing, and document how the system works.
Who it’s for
- Service businesses juggling inquiries across several channels
- Teams that know follow-up slips when things get busy
- Owners who want replies to sound like them, not a template
- Businesses already using a CRM but not getting value from it

Questions
- Will AI reply to leads on its own?
- It can, for a simple acknowledgment you approve in advance. For anything more personal, we recommend AI drafts and a person sends.
- Do I need a CRM?
- Not necessarily. A shared inbox or a simple spreadsheet can work. If you already have a CRM, we build on it.
- What about texting rules?
- Text and email follow-up should only go to people who agreed to hear from you, with clear opt-out. We design with that in mind; for legal specifics, check with your advisor.
- Can this connect to an AI receptionist or chatbot?
- Yes. Leads captured by phone or chat can feed the same follow-up list.
- Where should I start?
- Our free checklist highlights where follow-up may be slipping.
