AI receptionist setup for San Diego businesses
Missed calls tend to happen at the worst moments: on a job site, with a customer at the counter, after hours. An AI receptionist can answer, take a message, answer common questions and hand off to a person. The tricky part is choosing and setting one up so it sounds like your business and knows when to step aside.
What we do
We help San Diego businesses plan, configure and test an AI receptionist on top of the phone system you already use. We are tool-neutral: there are many AI phone answering products, and the right one depends on your call types, your scheduling software and how much a human needs to stay in the loop.
Before anything is switched on, we listen to how calls actually go today. What do people ask first? Which calls must reach a person right away? What should never be said on your behalf? That becomes the script, the escalation rules and the knowledge the assistant draws from.
We also set up what happens after the call: a summary sent to the right person, a note in your CRM or calendar, and a clear path for callers who want a human.
How it works
- 01
Call map
We review your call types, hours, transfer rules and existing tools, and agree on what the receptionist should and should not handle.
- 02
Configure and test
We set up the chosen tool, write the greeting and scripts, connect calendars or CRM where it makes sense, and test edge cases with your team listening in.
- 03
Train and hand over
We walk your staff through summaries, handoffs and edits, and document how to update the answers as your business changes.
Who it’s for

- Offices with a front desk that gets stretched during busy hours
- Owners who want after-hours or overflow coverage while keeping people on important calls
- Teams in San Diego County, or anywhere remotely

Questions
- Will callers know they are talking to AI?
- We recommend being upfront. The greeting can say it is an automated assistant and offer a person. Being honest tends to sit better with callers than pretending.
- Do I have to change my phone number?
- Usually not. Most AI receptionist tools work with call forwarding from your existing number. We confirm this for your provider during the call map.
- What happens with calls the AI should not handle?
- We define those up front, such as complaints, emergencies or anything sensitive, and set transfer or message rules so a person takes over.
- Which AI receptionist software do you use?
- Whatever fits your calls and tools best. We are not tied to one vendor, and we will tell you if a simpler option, such as better voicemail routing, is the right answer.
- Is this in-person or remote?
- Either. We are based in the San Diego area and can meet on site when practical, or do everything remotely.
